User Guide - Switching to Your Private Email Server


This document applies to customers who are in the process of migrating their existing hosting service to our new eApps hosting platform, which provides a Virtual Private Server (VPS) for all hosting plans. It describes the process to switch from the general email server used on our prior service to the private email server included with each VPS plan. Customers who signed up after June 9, 2004 are already on the new platform and should not use this document.

The email server that is included with your newVPS is configured differently than the old email server. Consequently, you will need to reconfigure the settings for your email client (email software on your PC - ex. Outlook). We recommend that you take advantage of your email client's ability to have multiple mail accounts so that no messages are missed in the transition. We have outlined the recommended steps below.

  1. Set up email boxes - You will need to log on to your control panel (http://cp.eapps.com/cp) and add the addresses for your email boxes. Go to the System Tab and then slide down to the Mailboxes section on the left side menu. Click on the mailboxes function and you can add mailboxes. Please note the Help function if you need additional instructions. Once you mailboxes are established, you may also want to go to the Mail Forwarding option, if needed.

    When setting up your mail accounts, we recommend you use the "@multipledomains" option. This is the default option that allows the same user name to be used with multiple domains. In addition, it provides you with some additional functions like forwards and vacation messages. When you use the multipledomains" option, you also only have to specify the username portion of the mail address when setting up your email.

  2. Add a new account to mail client - You will now want all your users to add a new account to their mail client (ex. Outlook). The settings should be the same as your existing account except for the following:

    • Username is the username portion of your email address if you used the "@multipledomains" option. If you did not use the "@multipledomains" option, the username is the full email address.
    • POP and SMTP incoming and outgoing server should be set to mail.your-domain-name.com
    • Set SMTP Authentication to off

    After this step is completed, the mail client will be configured to check for for mail on the old and new service.

  3. When all email users have completed adding their new mail account (step 2), please contact Technical Support to switch your incoming mail to be sent to the new mail server. You should contact Technical Support by emailing support@eApps.com.

  4. 4. If you leave messages in your mailbox on the server and would like it transferred to the new server, please contact Technical Support by emailing support@eApps.com to request that the mail messages be moved. Please note that if you are using IMAP mail, you will need to contact Technical Support to discuss options to move your existing mail folders and messages.

  5. Once a user has received email from the new mailbox and also cleared messages from their old system, they should delete the old account from their email client.

  6. Once all users have deleted their old accounts, you should contact Technical Support by emailing support@eApps.com to notify them to delete all the old mail accounts on the old service. The old mailboxes are subject to deletion 10 business days after the mail was switched over to the new service.
