User Guide - Microsoft Outlook

Microsoft Outlook  is an e-mail application, calendar, and personal information manager from Microsoft. It is part of the Microsoft Office suite of applications.

Microsoft Outlook is a completely different application than Outlook Express. The similar names lead many people to incorrectly assume that Outlook Express is a stripped down version of Outlook, but Outlook has more features and is more complex than Outlook Express.

Overview

This User Guide specifically covers Microsoft Outlook 2002, which is part of the Microsoft Office XP productivity suite, and is designed to help you quickly set up the Outlook 2002 e-mail client with your eApps web hosting service. Other versions of Outlook may differ slightly, but the general setup should be similar. Please consult the official Microsoft Solution Center for your specific version of Outlook if you need more assistance than this User Guide provides.

Note While eApps Support will make every effort to assist you with setting up your e-mail client, you are ultimately responsible for resolving any issues with the installation, configuration and usage of your e-mail client software. For advanced configuration or usage questions, you may need to contact vendor support for your e-mail client or consult some of the many resources online for more information. 

This User Guide assumes that you have already installed Outlook 2002 on your personal computer, and are ready to set up your e-mail account.

Getting Started

Next Make sure to substitute example.com or mail.example.com with your actual domain name and mail server name. Also, please substitute your actual e-mail address for user@example.com.

Before you begin, you need to know the following information:

  • Your e-mail address - this will be in the format of user@example.com
  • Your username - this will often be the same as your e-mail address, but it may simply be the user part of the address, depending on how your e-mail address was set up
  • Your e-mail password - this will be case-sensitive and will contain numbers, letters and special characters such as ‘!@#$%’
  • Your mail server - this will be either example.com or mail.example.com
  • Other information - is this a POP or IMAP account, and if your e-mail account was set up as user@example.com or user@multiple_domains. This will determine your  User Name, which will be used during the account set up.
Warning Unless you are the owner of the account or a registered contact for the account, eApps Support cannot provide you with this information due to security and privacy reasons. You will need to contact the authorized person for your account to get this information.


Account Setup

Tech Tip Outlook 2002 can be used for more than just e-mail, but this User Guide will only cover the basic e-mail client setup.

To add a new account to Outlook, from the main Outlook screen go to Tools, E-mail Accounts, and the click the radio button for Add Account, and then click Next.

  • Choose either POP3 or IMAP
  • Click Next

The difference between the two screens for POP3 or IMAP is that in the POP3 screen, you have a Test Account Settings button that doesn’t exist in the IMAP screen. Otherwise, the information needed is the same.

User Information

  • Enter your name in the Your Name field. This shows as the “From” name in your e-mail messages
  • Enter your e-mail address in the E-mail Address field exactly as it was given to you

Logon Information

  • Your User Name will depend on how your e-mail account was set up. If it was set up as user@example.com enter your entire e-mail address here. If your e-mail account was set up as user@multiple_domains enter just the user  part of the e-mail address here.
  • If you are not sure of the above information, contact the person who set up your e-mail accout.
  • Enter your password in the Password field, and make sure the Remember password box is checked.
  • Make sure the Log on using Secure Password Authentication box is unchecked

Server Information

  • Enter the name of the Incoming mail server (POP3 or IMAP) in the format it was given to you, usually either example.com or mail.example.com
  • Enter the name of the Outgoing mail server (SMTP) in the format is was given to you.
  • If you are using a POP3 account, you can click on Test Settings to verify that you are able to connect to the POP3 and SMTP servers. If Outlook cannot connect, it will display some errors here that are useful for troubleshooting.
  • For both POP3 and IMAP accounts, there is a More Settings button. Most of the defaults here are fine, but this is where you can set a name for the account (General), configure SMTP Authentication if your VPS has been configured for it (Outgoing Server), and change your Incoming and Outgoing server ports (Advanced).
Click Next, and then click Finish

If you ever need to change any of these settings, from the main Outlook screen, click on Tools, E-mail Accounts, and click on View or change existing e-mail accounts, and click Next. In the next screen, highlight the e-mail account you wish to change, and click on Change.
